When you submit a Free Audit request, we collect:

- Sales Context: Links to your website, LinkedIn, or product pages (optional), a recording URL (link to your sales call via Drive, Zoom, Loom, YouTube, or similar), the call outcome (lost, ghosted, closed but messy, etc.), and your analysis of what went wrong (optional)
- Reference ID: A unique audit reference number automatically generated by our system (format: KNV-YYMMDD-XXXXX)
4.2 Information Collected Automatically
Technical Data: IP address, browser type and version, device type and operating system, time zone and approximate location, pages visited and features used.
Cookies: We use essential cookies to operate the Service. You can control cookies through your browser settings.

Any messages, emails, or other communications you send to us directly.
5. How We Use Your Data
We use your personal data to:
- Perform the Audit: Review your sales call recording, analyze your sales process, and produce your audit report

We do not use your data for marketing communications unless you have separately opted in to receive them. We do not use your data, recordings, or audit results for training AI models, building case studies, or any purpose other than delivering your audit.

- Your recording is accessed only by authorized personnel directly involved in producing your audit
- Your recording is never shared with third parties, other clients, or external partners
- Your recording is never stored externally beyond the secure systems required to analyze it
- Your recording is never used for marketing, case studies, AI training, public presentations, or any purpose other than producing your audit report
6.2 Purpose Limitation
All data you submit (recording, business information, call context) is used exclusively for the purpose of producing your Free Audit report. No secondary use is permitted without your explicit, separate, written consent.
6.3 Data Deletion
After your audit report has been delivered:
- Your call recording link and any downloaded copies are deleted from our systems within 90 days
- Your audit report is retained for reference purposes for up to 12 months, then deleted
- If you engage our paid services after the audit, retention periods are governed by the individual service agreement
- You may request immediate deletion of all your data at any time by contacting us
6.4 Survival
Our confidentiality obligations regarding your sales call data survive indefinitely, regardless of whether the audit is completed, declined, or the relationship otherwise ends.
7. Data Sharing and Disclosure
We do not sell your personal data. We may share your data only in these limited circumstances:

- Ghost (Ghost Foundation Ltd): Our content management platform
- Magic Pages / Hetzner: Our hosting provider (servers located in Germany)
- Cloudflare: Content delivery network and security
- AI Processing Tools: Used for call transcription and analysis, under strict confidentiality controls
All service providers are bound by data processing agreements and GDPR compliance requirements. They process data only on our instructions and for the purposes described in this policy.
Legal Requirements: We may disclose data if required by law, court order, or to protect our legal rights.
Business Transfers: If THŌNE Studio Ltd is acquired or merged, your data may be transferred to the successor entity, which must continue to honor this Privacy Policy.
